Google Workspace vs Microsoft 365 in South Africa
Google Workspace vs Microsoft 365 for a South African business: real costs with currency and VAT, which suits your team, cheaper options, and where data lives.
Most comparisons of Google Workspace vs Microsoft 365 for South Africa quote US dollars, skip VAT and ignore cheaper local options. The short answer: compare named plans rather than brands, choose Microsoft 365 if your team needs desktop Word and Excel, and Google Workspace if it works mainly in the browser. But first ask whether you need a full office suite at all, and note one difference that matters here: where each one keeps your data.
Google Workspace vs Microsoft 365 in South Africa: the short answer
- Both give you email on your own domain, calendars, file storage, video meetings and office apps.
- Their entry plans are in a similar price band, but the plans are not like for like: what is included differs, especially desktop apps and AI features, so compare specific plans.
- Microsoft 365 suits teams that work in desktop Word, Excel and Outlook all day, but that means Business Standard or above: Business Basic includes the web and mobile Office apps, not the desktop versions [9].
- Google Workspace suits teams that work in Gmail, Docs and Sheets in a browser and collaborate on the same documents.
- A one or two person business may not need either, as covered below.
Both also offer free trials, so the cheapest way to decide is often to put two or three people on a trial for a fortnight and see which one they stop complaining about.
In practice, familiarity wins. Moving a team that knows Excel inside out to Google Sheets, or the reverse, costs more in lost time than any price difference between the two.
What each suite actually costs a South African business
Neither giant bills you in Rand. Google's South African pricing page lists Business Starter at EUR 6.80 per user per month, Business Standard at EUR 13.60 and Business Plus at EUR 21.10, states that all prices are in euros, and notes that prices do not include tax [2]. Microsoft bills South African business plans in US dollars. One 2026 comparison lists Business Basic, Standard and Premium at US$7, US$14 and US$22 per user per month on annual billing [1], but Microsoft also sells variants with and without Teams and with Copilot, so check the exact plan on its South African page.
To compare in Rand, convert each plan on the day you decide. As a worked example only, at an illustrative R20 to the euro, Google Business Starter at EUR 6.80 is R136 per user per month before tax, and at R18 to the US dollar, a US$7 Microsoft plan is R126. VAT is levied at 15% by registered vendors [10], so add it where it is charged and not already included. Use the day's actual exchange rate for your own sums, and remember a weaker Rand raises the bill.
Storage differs too. Google lists 30 GB of pooled storage per person on Starter, 2 TB on Standard and 5 TB on Plus [2], which matters if your team stores large files or video.
Which is better for the way your team works
- Choose Microsoft 365 if your accountant, suppliers and staff swap Word and Excel files, you rely on complex spreadsheets, or you already use Teams.
- Choose Google Workspace if your team works from anywhere on laptops and phones, edits the same documents together, and does not depend on desktop Office features.
AI is now part of the comparison, and the two vendors package it differently. Google's South African page lists the Gemini assistant in Gmail on every tier, including Starter [2]. On the Microsoft side, one 2026 analysis notes that Microsoft moved its AI assistant into middle and top tiers [5], and Copilot inside the Office apps is sold in separately named plans [1]. Check which AI features each specific plan includes, and decide whether you will actually use them before paying more.

Do you even need the full suite?
This is the question vendor pages rarely ask. If you mainly need a professional address and an inbox, there are cheaper routes:
- A local host mailbox: 1-grid lists Email Basic at R65 per account per month with 10 GB and Email Pro at R95, billed in Rand [3].
- Zoho Mail's free plan: up to 5 users on one custom domain with 5 GB each, with everyone moving to a paid plan from the sixth user [4].
Move to Workspace or 365 when you need shared documents, calendars, meetings and admin controls for a growing team. Starting small does not lock you in, provided you own the domain. Moving later has two parts: migrating existing email, calendars and contacts into the new suite, and setting up accounts on staff devices, then the final DNS change that sends new mail to the new provider. POPIA and where your data lives
Your inboxes and shared drives are full of customer and staff personal information. POPIA, the Protection of Personal Information Act, governs how you process it, and the Information Regulator enforces it [8].
Here the two suites genuinely differ. Microsoft lists South Africa as one of its Microsoft 365 local region geographies, with data residency commitments for in-scope services such as Exchange Online, SharePoint, OneDrive and Teams [6]. Google Workspace's data region options are the United States, the European Union, or no preference [7], with no South African option.
POPIA does not simply require data to stay in South Africa. Section 72 restricts transfers of personal information to a third party in a foreign country unless conditions are met, such as the recipient being bound by law, binding corporate rules or a binding agreement that provides an adequate level of protection [11]. But if your clients, sector or contracts expect South African data residency, that tilts the choice towards Microsoft. For a compliance decision, get professional advice.
What to do next
- Confirm you own your domain and have access to its DNS settings before choosing any provider.
- Decide by how your team already works: desktop Office or browser-first.
- If you are one or two people, start with a host mailbox or Zoho's free plan and upgrade later.
- Convert the quoted price to Rand, add 15% VAT where it applies and is not already included, and check the data region if residency matters to you.
- Create your addresses, point your MX records at the new provider, and test sending and receiving.
